Those chunks get converted into embeddings (think: searchable “meaning fingerprints”) and stored in an in-memory vector store for fast lookup. When a question arrives via webhook, the AI agent pulls the most relevant chunks, keeps a short memory of the conversation, and generates a response grounded in your documents instead of improvising.

The workflow starts with Google Drive monitoring and indexing, which runs quietly in the background. Then a webhook becomes your single “ask a question” doorway from any chat tool that can POST JSON (including custom web chat, Venio/Salesbear, or even Telegram if you want). Finally, it validates the agent output, verifies an access token, and sends the formatted answer back through an HTTP request.

Step by Step

Google Drive changes trigger indexing. When a file is created or updated in your chosen Drive folder, n8n searches for the changed file and pulls it down so it can be processed.

Documents are turned into searchable chunks. A document loader extracts text from PDFs and common doc formats, then a recursive text splitter breaks it into chunks that are easier to retrieve accurately later.

OpenAI builds embeddings for fast retrieval. The workflow sends those chunks to OpenAI’s embedding model and stores the vectors in an in-memory vault, which lets the bot fetch the most relevant passages for any question.

A webhook receives questions and returns answers. Your chat platform posts a message to the webhook, fields are mapped, the AI agent runs a Q&A chain against the vector store (with a small memory buffer), and the final response is validated, authenticated, and sent back via HTTP request.

Step-by-Step Implementation Guide

Step 1: Configure the Webhook Trigger

Start the workflow by capturing incoming chat events through the webhook and mapping the fields needed by the AI agent.

  1. Add and open Incoming Webhook Trigger.
  2. Set HTTP Method to POST.
  3. Set Path to bfb0e32d-659b-4fc5-a7a3-695c55137855.
  4. Open Map Incoming Fields and set chatInput to {{ $json.body.Data.ChatMessage.Content }}.
  5. Set sessionId to {{ $json.body.Data.ChatMessage.RoomId }}.
Ensure the source system sends Data.ChatMessage.Content and Data.ChatMessage.RoomId, or the agent won’t receive input.

Step 2: Connect Google Drive Triggers and File Intake

Set up the Google Drive triggers to detect new or updated files and download them into the pipeline.

  1. Open Drive File Created Trigger and set Event to fileCreated and Trigger On to specificFolder.
  2. Set Folder to Watch to [YOUR_ID].
  3. Open Drive File Updated Trigger and set Event to fileUpdated, Trigger On to specificFolder, and Folder to Watch to [YOUR_ID].
  4. Open Drive Folder File Search and set Resource to fileFolder, Drive to My Drive, and Folder ID to [YOUR_ID].
  5. Open Drive File Downloader and set Operation to download with File ID as {{ $json.id }}.
  6. Credential Required: Connect your Google Drive credentials to Drive File Created Trigger, Drive File Updated Trigger, Drive Folder File Search, and Drive File Downloader.

Step 3: Build the Vector Knowledge Base

Chunk documents, load them, and embed them into the vector store for retrieval.

  1. Open Recursive Text Chunker and set Chunk Overlap to 100.
  2. Open Standard Document Loader and set Data Type to binary and Binary Mode to specificField.
  3. Open In-Memory Vector Vault and set Mode to insert with Memory Key set to vector_store_key.
  4. Open OpenAI Embedding Builder and ensure it is connected to In-Memory Vector Vault as the embedding model.
  5. Credential Required: Connect your OpenAI credentials to OpenAI Embedding Builder (credentials are added on this node, not on In-Memory Vector Vault).

Step 4: Configure the Conversational AI Agent and Tools

Set the AI model, memory, and retrieval tool used to answer questions based on the knowledge base.

  1. Open OpenAI Chat Engine and set Model to gpt-4o-mini.
  2. Open Conversational AI Agent and confirm the System Message is the provided support specialist instruction text.
  3. Open Windowed Memory Buffer and ensure it is connected as the memory for Conversational AI Agent.
  4. Open OpenAI Embedding Builder 2 and In-Memory Vector Vault 2, then confirm In-Memory Vector Vault 2 uses Memory Key vector_store_key.
  5. Open OpenAI Chat Engine 2 and confirm Model is gpt-4o-mini.
  6. Open Vector Q&A Tool and confirm it is wired to In-Memory Vector Vault 2 and OpenAI Chat Engine 2.
  7. Credential Required: Connect your OpenAI credentials to OpenAI Chat Engine, OpenAI Embedding Builder, OpenAI Chat Engine 2, and OpenAI Embedding Builder 2. The tool nodes (Vector Q&A Tool, In-Memory Vector Vault, In-Memory Vector Vault 2, and Windowed Memory Buffer) inherit credentials from the OpenAI nodes.

Step 5: Configure Output Validation and Response Dispatch

Validate the agent output, obtain an access token, and send the chat response back to the platform.

  1. Open Validate Agent Output and keep the JavaScript fallback logic as provided to ensure a safe response.
  2. Open Token Verification Call and set URL to <Your-Token-Url>, Method to POST, and Content Type to form-urlencoded.
  3. In Token Verification Call, set body parameters: grant_type client_credentials, client_id <Your-Client-Id>, client_secret <Your-Client-Secret>.
  4. In Token Verification Call headers, set Ocp-Apim-Subscription-Key to <Your-Subscription-Key>.
  5. Open Dispatch Chat Response and set URL to <Your-Chat-Url> with Method POST.
  6. Set roomId to {{ $('Incoming Webhook Trigger').item.json.body.Data.ChatMessage.RoomId }} and content to {{ $('Validate Agent Output').item.json.content }}.
  7. Set platform to {{ $('Incoming Webhook Trigger').item.json.body.Data.ChatMessage.Platform }} and companyId to {{ $('Incoming Webhook Trigger').item.json.body.Data.ChatMessage.User.CompanyId }}.
  8. Set header Authorization to Bearer {{ $json.access_token }} and Ocp-Apim-Subscription-Key to <Your-Subscription-Key>.

  4. Check that Token Verification Call returns an access_token, then ensure Dispatch Chat Response succeeds with a 200-class response.
