The Problem: Zillow research turns into messy spreadsheet work

Zillow is great for browsing. It’s not great for building a clean dataset you can actually use for pricing checks, comps, outreach, or quick market scans. The manual process is annoying in a way that’s hard to explain until you’ve done it: open a listing, copy the price, paste it somewhere, grab the URL, paste that too, try to capture the location, then repeat. After a dozen listings, little mistakes creep in. After a hundred, your sheet is a jumble of duplicates and half-filled rows, and you don’t trust any of it.

The friction compounds. Here’s where it breaks down.

The Solution: Scrape Zillow search pages, dedupe, and write clean rows

This workflow starts with a simple form submission: you paste in a Zillow search URL for the area you care about. n8n takes that base search URL, generates a set of page numbers (by default it pulls pages 1 through 7), and loops through them one-by-one. For each page, it calls the Olostep API to scrape the Zillow results. Olostep returns structured data using an LLM extraction schema, so instead of messy HTML you get consistent fields like price, the listing URL, and location. Then the workflow cleans the response, expands it into individual listing items, removes duplicates, and appends each clean listing as a new row in your destination (a Google Sheet or an n8n Data Table).

It begins when you submit a Zillow search link. Then it paginates through multiple results pages, scrapes each page via Olostep, and normalizes the output into consistent fields. Finally, it writes one listing per row so you can filter, sort, and act on it immediately.

Say you’re building a list of 80 listings for a weekly pricing review. Manually, if it takes about 5 minutes per listing to copy price, URL, and location, that’s roughly 6 to 7 hours of repetitive work. How It Works

A form submission kicks everything off. You paste a Zillow search URL for a city, zip code, or neighborhood, and n8n saves it as the “base” search it will work from.

Pagination gets created automatically. The workflow generates a list of page numbers (by default 1 to 7), then expands that list so each page becomes its own scrape job.

Olostep scrapes each page and returns structured data. For every page, n8n sends an HTTP request to Olostep. The response is normalized into the fields you care about (price, listing URL, location), then expanded into one item per listing.

Clean rows get appended to your table. Each listing is appended as a new record so you can filter for price bands, spot outliers, tag neighborhoods, or hand it off to outreach.

Step-by-Step Implementation Guide

Step 1: Configure the Form Submission Trigger

Set up the entry point form that collects the Zillow search URL to scrape.

  1. Add and open Form Submission Trigger.
  2. Set Form Title to Scrape Zillow With Olostep API.
  3. Set Form Description to Enter the search url you want to scrape.
  4. In Form Fields, add a required field labeled url and paste the sample Zillow URL in the placeholder for user guidance.

Step 2: Connect Olostep API

Prepare the base URL and configure the Olostep scraping request that will be called for each page.

  1. Open Prepare Base URL and set the assignment for url to {{ $json.url.slice(0,-3) }}.
  2. Open Olostep API Request and set URL to https://api.olostep.com/v1/scrapes.
  3. Set Method to POST and keep Specify Body as json.
  4. Set JSON Body to the provided template and ensure it includes {{ $('Prepare Base URL').item.json.url }} and {{ $json.counter }} inside the url_to_scrape string.
  5. In Header Parameters, set Authorization to Bearer [CONFIGURE_YOUR_TOKEN].

⚠️ Common Pitfall: Replace [CONFIGURE_YOUR_TOKEN] with a valid Olostep API token or the request will fail.

Step 3: Set Up Pagination and Batching

Create the pagination list, split it into individual page numbers, and iterate through them in batches.

  1. In Set Pagination List, set the counter assignment to the array [1,2,3,4,5,6,7].
  2. Open Explode Page Numbers and set Field To Split Out to counter.
  3. Connect Explode Page Numbers to Batch Iterator so each page number enters the batch cycle.
  4. Ensure Batch Iterator routes its second output to Olostep API Request to process each batch item.

The flow is linear: Form Submission TriggerPrepare Base URLSet Pagination ListExplode Page NumbersBatch IteratorOlostep API Request.

Step 4: Configure Data Normalization and Table Output

Normalize the scraped JSON, expand records, and append each property to the data table.

  1. Open Normalize Parsed Data and set parsedJson to {{ $json.result.json_content.replace(/\\/g, '') }}.
  2. Open Expand Records and set Field To Split Out to parsedJson.
  3. Open Append Table Row and map columns to {{ $json.url }}, {{ $json.price }}, and {{ $json.location }}.
  4. Confirm the Data Table selection is zillow places to store results.
  5. Keep the loop by connecting Append Table Row back to Batch Iterator to continue pagination.

Step 5: Test and Activate Your Workflow

Run a manual test to validate form input, scraping, parsing, and table writing before enabling the workflow.

  1. Click Execute Workflow and submit the form from Form Submission Trigger using a valid Zillow search URL.
  2. Verify Olostep API Request returns data and Normalize Parsed Data produces a clean parsedJson array.
  3. Check that Append Table Row inserts rows into the zillow places data table for each property.
  4. When successful, toggle the workflow to Active for production use.

Common Gotchas

  • Olostep credentials can expire or need specific permissions. If things break, check your Olostep dashboard for API key status and usage limits first.
  • If you’re using Wait nodes or external rendering, processing times vary. Bump up the wait duration if downstream nodes fail on empty responses.

Most of the time it’s an invalid or expired API key, so regenerate it in Olostep and update the credentials used by the HTTP Request node. It can also be a usage limit issue if you’re scraping lots of pages back-to-back. Finally, Zillow result pages change often; if your extraction suddenly returns empty fields, review the schema and the returned JSON to confirm price, url, and location are still being captured.

How many listings can this Zillow Sheets automation automation handle?

It depends on how many results pages you include, but pulling a few hundred listings in a run is normal if your Olostep plan supports it and your n8n instance has enough execution time.
