Bright Data + Google Sheets, cleaner Etsy research

Lisa Granqvist Partner Workflow Automation Expert

You open Etsy, run a search, click into a few listings, copy prices and review counts, then realize you only checked page one. Again. The “research” turns into messy notes, missed competitors, and a spreadsheet you don’t fully trust.

Ecommerce analysts feel it when they’re building weekly category reports. A product researcher doing niche validation gets stuck in the same loop. Even founders just trying to pick the next product end up doing Etsy research automation manually, one tab at a time.

This workflow uses Bright Data to scrape Etsy, extracts structured fields with AI, and saves clean rows into Google Sheets. You’ll see what it automates, what you get out of it, and what to watch for when you run it at scale.

The Problem: Etsy Research Breaks When You Try to Scale It

Etsy is great for quick inspiration, but it’s brutal for consistent research. Listings are dynamic, pages are JavaScript-heavy, and the details you care about (price, shipping signals, review velocity, seller activity) are scattered across templates that don’t always match. So you “just check a few,” then try to generalize from 20 listings to an entire category. Later, you discover page five had the real winners, or pricing looks different once you include variations. That’s not analysis. It’s guesswork dressed up as work.

It adds up fast. Here’s where the wheels usually come off.

  • Copy-pasting 50 listings into a sheet can swallow about 2 hours, and you still don’t have full pagination coverage.
  • Small errors sneak in (a missed currency symbol, a variation price, a duplicated URL), which ruins comparisons later.
  • When you revisit the niche next week, you’re basically starting over because there’s no repeatable process.
  • Manual research rarely captures the “why” behind reviews, so you miss patterns customers keep mentioning.

The Solution: Bright Data Scraping + AI Cleanup into Google Sheets

This workflow turns an Etsy search URL into a clean dataset you can actually work with. It starts by defining your Etsy search query, then uses Bright Data’s Web Unlocker to fetch the HTML content reliably, even when Etsy loads things dynamically. Next, AI extraction pulls out pagination details so you can crawl beyond page one without babysitting the run. As each page is fetched, the workflow extracts product details into structured fields (think titles, pricing signals, review counts, shop info), then sends results to your destination. You also get a saved scrape file on disk, which is handy when you want an audit trail or a raw backup for later.

The workflow begins with a manual launch (or a trigger you can swap in), then grabs the first Etsy page to learn how many pages exist. After that, it loops through each page, extracts listing data with Gemini and OpenAI, and pushes the cleaned output to Google Sheets and/or a webhook endpoint you choose.

What You Get: Automation vs. Results

Example: What This Looks Like

Say you’re validating a niche and want to capture 200 listings across about 10 Etsy result pages. Manually, if you spend roughly 2 minutes per listing to open, skim, and copy key fields, that’s around 6–7 hours (and you’ll still miss some details). With this workflow, you paste the search URL once and let it run: maybe 5 minutes to kick off and sanity-check the first results, then the scraping and extraction happens in the background. You get a sheet of structured rows, plus a saved raw file, without spending the whole afternoon tab-hopping.

What You’ll Need

  • n8n instance (try n8n Cloud free)
  • Self-hosting option if you prefer (Hostinger works well)
  • Bright Data Web Unlocker to fetch Etsy pages reliably
  • Google Sheets to store clean, usable rows
  • Google Gemini API key (get it from Google AI Studio or Vertex AI)

Skill level: Intermediate. You’ll connect credentials, paste a search URL, and adjust a prompt/output mapping in n8n.

How It Works

You provide an Etsy search URL. The workflow starts from a manual launch in n8n, then sets the search query in a “Define Search URL” step. If you want, you can swap this input later for a webhook, a Google Sheet of niches, or a form submission.

Bright Data retrieves the page content. The first HTTP request pulls the initial Etsy results page using Bright Data’s Web Unlocker. That matters because Etsy pages often rely on scripts, and simple scrapers fail or return incomplete HTML.

AI figures out pagination and extracts listing data. Gemini (and an OpenAI-based parser in this build) reads the content, identifies the pagination set, and splits the run into a page-by-page loop. Each page is fetched, then key product details are extracted into structured fields you can sort and filter.

Results get saved and sent where you need them. The workflow posts a summary to a webhook endpoint, saves a scrape file to disk, and can write clean rows to Google Sheets. That gives you both a working dataset and a backup of what was scraped.

You can easily modify the fields you extract (price breakdown, shipping, review themes) to match your category research goals. See the full implementation guide below for customization options.

Step-by-Step Implementation Guide

Step 1: Configure the Manual Trigger

Start the workflow with a manual execution so you can validate the scrape logic before automation.

  1. Add and keep Manual Launch Trigger as the starting node.
  2. Use this node to run the workflow on demand during setup and testing.

Step 2: Connect the Primary Request and Search Parameters

Define the Etsy search URL and send the initial scraping request through Bright Data.

  1. In Define Search URL, set url to https://www.etsy.com/search?q=wall+art+for+mum&order=date_desc&page=1&ref=pagination and zone to web_unlocker1.
  2. In Primary Etsy Request, set URL to https://api.brightdata.com/request and Method to POST.
  3. In Primary Etsy Request, enable Send Body and Send Headers.
  4. Set body parameters in Primary Etsy Request:
    • zone to {{ $json.zone }}
    • url to {{ $json.url }}
    • format to raw
    • data_format to markdown
  5. Credential Required: Connect your httpHeaderAuth credentials in Primary Etsy Request.

Tip: If your Bright Data zone name changes, update Define Search URL and keep the same {{ $json.zone }} reference in Primary Etsy Request.

Step 3: Set Up Pagination Parsing and Page Iteration

Use Gemini to extract pagination URLs, split the results, and iterate over each page.

  1. Connect Gemini Chat Engine to Parse Pagination Set as the language model; credentials are added on Gemini Chat Engine, not the extractor node.
  2. Credential Required: Connect your googlePalmApi credentials in Gemini Chat Engine.
  3. In Parse Pagination Set, set Text to Analyze and Extract the below content. Make sure to produce a unique resultset. Exclude page_numbers which are not numbers. {{ $json.data }}.
  4. In Split Output Items, set Field To Split Out to output.
  5. Keep Iterate Pages as the batch iterator to drive paginated requests.

⚠️ Common Pitfall: If Parse Pagination Set returns non-numeric page markers, ensure the prompt explicitly excludes non-number values as shown in the Text field.

Step 4: Configure Paginated Requests and Product Extraction

Request each paginated page and extract product details using Gemini as the model.

  1. In Paginated Etsy Request, set URL to https://api.brightdata.com/request and Method to POST.
  2. Set body parameters in Paginated Etsy Request:
    • zone to web_unlocker1
    • url to {{ $json.url }}
    • format to raw
    • data_format to markdown
  3. Credential Required: Connect your httpHeaderAuth credentials in Paginated Etsy Request.
  4. Connect Gemini Product Model to Extract Product Details as the language model; credentials are added on Gemini Product Model, not the extractor node.
  5. Credential Required: Connect your googlePalmApi credentials in Gemini Product Model.
  6. In Extract Product Details, set Text to Extract the product info in JSON {{ $json.data }} and keep Schema Type as fromJson with the provided example.

Step 5: Route Summary and File Output in Parallel

After extraction, the workflow sends a summary webhook and writes a local JSON file at the same time.

Extract Product Details outputs to both Post Summary Webhook and Build Binary Payload in parallel.

  1. In Post Summary Webhook, set URL to https://webhook.site/[YOUR_ID] and enable Send Body.
  2. Set the summary body parameter in Post Summary Webhook to {{ $json.output }}.
  3. In Build Binary Payload, keep the Function Code as provided to convert JSON into base64 binary data.
  4. In Save Scrape File, set Operation to write and File Name to =d:\Esty-Scraped-Content-{{ $('Iterate Pages').item.json.page_number }}.json.
  5. Ensure Post Summary Webhook reconnects to Iterate Pages to continue pagination.

⚠️ Common Pitfall: The file path in Save Scrape File is Windows-specific. Update the path if you are running n8n on Linux or macOS.

Step 6: Optional OpenAI Pagination Parsing

The workflow includes an OpenAI-based pagination parser that can be used as an alternative or for testing.

  1. Connect OpenAI Chat Engine to Parse Pages via OpenAI as the language model; credentials are added on OpenAI Chat Engine, not the extractor node.
  2. Credential Required: Connect your openAiApi credentials in OpenAI Chat Engine.
  3. In Parse Pages via OpenAI, set Text to Analyze and Extract the below content. Make sure to produce a unique resultset. Exclude page_numbers which are not numbers. {{ $json.data }} if you plan to use this branch.

Step 7: Test & Activate Your Workflow

Validate end-to-end scraping, extraction, webhook posting, and file writing before enabling the workflow.

  1. Click Execute Workflow on Manual Launch Trigger to run the workflow manually.
  2. Confirm that Primary Etsy Request returns data and Parse Pagination Set outputs a list of page URLs.
  3. Verify that Post Summary Webhook receives a payload and Save Scrape File writes a file for each page.
  4. When results are correct, toggle the workflow to Active for production use.

Common Gotchas

  • Bright Data Web Unlocker credentials can expire or the zone name can be wrong. If things break, check the Bright Data token and zone settings in your n8n Credentials and the “Define Search URL” values first.
  • If you’re using Wait nodes or external processing, processing times vary. Bump up the wait duration if downstream extraction nodes fail because a page response hasn’t arrived yet.
  • Default prompts in Gemini/OpenAI extraction nodes are generic. Add your exact fields and formatting rules early (currency, variation pricing, review count as integer), or you’ll be cleaning outputs by hand later.

Frequently Asked Questions

How long does it take to set up this Etsy research automation?

About 30–60 minutes once your Bright Data and Google accounts are ready.

Do I need coding skills to automate Etsy research?

No coding required. You’ll mostly be pasting API keys, choosing where results go, and tweaking the fields you want extracted.

Is n8n free to use for this Etsy research automation workflow?

Yes. n8n has a free self-hosted option and a free trial on n8n Cloud. Cloud plans start at $20/month for higher volume. You’ll also need to factor in Bright Data usage plus AI calls (Gemini/OpenAI), which depend on how many pages you scrape.

Where can I host n8n to run this automation?

Two options: n8n Cloud (managed, easiest setup) or self-hosting on a VPS. For self-hosting, Hostinger VPS is affordable and handles n8n well. Self-hosting gives you unlimited executions but requires basic server management.

Can I customize this Etsy research automation workflow for extracting review themes and variation pricing?

Yes, and you should. Update the extraction prompts in the Gemini Chat Engine and the “Extract Product Details” information-extractor node to explicitly ask for variation price ranges and a short list of recurring review themes. If you want a final “so what” summary, keep the OpenAI Chat Engine step and adjust it to write a short insight block per page or per seller. Many teams also add one extra column for a computed “value score” based on price, reviews, and shipping signals.

Why is my Bright Data connection failing in this workflow?

Usually it’s an expired token, a missing Bearer header, or the Web Unlocker zone name doesn’t match what you created in Bright Data. Update the Header Auth credential in n8n, then re-check the “Define Search URL” values used by the HTTP Request nodes. If it works for the first page but fails later, you may also be hitting account limits or triggering retries on slower pages.

How many listings can this Etsy research automation handle?

Hundreds per run is normal, as long as you pace requests and your AI extraction isn’t timing out.

Is this Etsy research automation better than using Zapier or Make?

For this use case, n8n is usually the better fit because scraping + pagination loops + multi-step AI extraction is hard to model cleanly in simpler “trigger → action” tools. n8n also gives you unlimited branching without paying extra per path, which matters when you add error handling, retries, or per-page logic. If you self-host, you’re not boxed in by task limits in the same way. Zapier or Make can be fine for sending finished rows to Google Sheets, but they’re not built for heavy web scraping workflows. Talk to an automation expert if you’re on the fence.

Once this is running, Etsy research stops being a weekly fire drill and becomes a repeatable input to your decisions. Set it up, rerun it when you need it, and keep your time for the part that matters: choosing what to build and sell.
